MONTH 1:  DOCUMENT AUTOMATION CORE CONCEPTS

Thursday, September 7th, 2017 | 1:00 am – 7:00 pm

Overview:  A crash course education in Document Automation, including the value proposition, core concepts, future of Document Automation, process improvement and market landscape.

Introductions and overview of the fellowship and what is occurring each month.

1:30 pm        WHY DO DOCUMENT AUTOMATION?

The business case for document automation and the risks of not doing document automation.   

2:00 pm        WHAT IS DOCUMENT AUTOMATION?

Fellows will be introduced to the basics of document automation, and why the legal industry – specifically in-house counsel and legal operations professionals – should be looking to it as a solution.

2:30 pm       NUTS AND BOLTS OF DOCUMENT AUTOMATION AND CASE STUDIES
                        Speaker(s):  Michael Eidlin

A crash course on the details of Document Assembly.  Fellows will be introduced to the basic end user process for document automation and then be introduced to core concepts and language of document automation using a variety of programs to illustrate, and allow fellows to better evaluate programs.

Entrepreneurs and innovators within the Document Automation space will discuss new innovations within the document automation field and what they think will be the future of the industry.

MONTH 2: EVALUATING DOCUMENT AUTOMATION SOFTWARE

Friday, September 8th, 2017 | 9:00 am – 7:00 pm

Overview: Fellows will be given the tools to and tips on how to evaluate potential DA software to match their company’s needs, which they will then use to evaluate some of the best and innovative products on the market today.  Finally they will select 1-2 softwares to partner with for their Pilot Projects.

9:15 am        GETTING BUY-IN FROM LEGAL, SALES & PROCUREMENT OPERATIONS

Selecting and implementing document automation software is only half the battle.  Often one of the most difficult issues in implementing new software solutions in legal teams is getting buy in from your fiscal stakeholders, and demonstrating its value.  Andy Wishart from Contract Express will present to fellows on how to not only secure interest from some of your most reluctant stakeholders, but turn them into your allies and advocates.

10:00 am        PROCESS IMPROVEMENT VIA DOCUMENT AUTOMATION

While Document Automation is a great tool to improve your delivery of legal services, any good technologist knows that a tool is not simply enough to ensure success.  This session takes a broader look at setting up the strategy needed to implement a successful process improvement project using document automation as a focal point.  Fellows will be taken through the general process of gathering your team, metrics, and resources to implement a successful process improvement project structured around a Document Automation tool.

When selecting out good software design from bad, end users often left to use their personal Justice Stewart Test as their only guide and nothing more.  Fellows will be guided through a design thinking overview with practical exercises to help broaden how they think about technology tools and product functionality.

1:00 pm         DOCUMENT AUTOMATION MARKET LANDSCAPE

2:00 pm        HOW TO EVALUATE DOCUMENT AUTOMATION SOFTWARE

Evaluating software doesn’t just involve an objective standard or checklist. Fellows will be given the tools to and tips on how to evaluate potential software to match their company’s specific needs, along with tips on what questions to ask developers and flags to watch out for.

Fellows will be given demonstration from our innovator participants; a mix of market mainstays and new innovative document automation solutions.

5:00 pm        SELECT TOP PRODUCTS

Fellows will work in breakout session with their teams, guided by a team of expert facilitators, to select their top 1-2 tools to use during the pilot program portion of the program.

MONTH 3: PILOT PROJECT IMPLEMENTATION

Friday, October 13th, 2017 |  1:00 pm – 7:00 pm

Overview: Fellows and their chosen innovators will develop implementation plans for their pilot projects with the help a team of Project Managers to guide them through best practices and pitfalls.  They will be then given time to begin working with the their development team on creating the automated documents as part of their pilot program.

1:15 pm        BEST PRACTICES FOR IMPLEMENTING AND MANAGING YOUR DOCUMENT AUTOMATION PROJECT

While Document Automation projects can be coded by a solo legal technician, expertise and time often demands that the job involve a variety of people of various skill sets.  Fellows will learn how to select and manage a team of subject matter experts and document coders, and be shown a variety of tools and documentation to help them manage their team members and guide them through language selection, coding, debugging and testing.

2:00 pm        WORKSHOP: SETTING UP YOUR PILOT PROJECT CHARTER

Not all Document Automation Projects go according to plan, while some exceed your wildest expectations.  A panel of document automation users from the legal industry will tell tales of past document automation attempts from the successful to unsuccessful to illustrate lessons to take into the Fellows’ own projects.

3:15 pm        WORK SESSION WITH INNOVATOR(S)

Fellows and Innovators will begin to work together to develop a project plan, communication and tracking strategy.  Fellows will have access to legal project management experts to help put their plans together.  Additional time can then be used to design flow chart for document package, do hands on training, or being to automate the document package with their innovators.

MONTH 4: “DEMO DAY” + GRADUATION

1:30 pm        PRESENTATIONS FROM FELLOWS ON LESSONS LEARNED FROM PILOT PROJECT IMPLEMENTATION

The fellows and their partnered innovators will present their Document Automation pilot projects to their other fellows and a panel of judges, who are all legal tech and document automation specialists. Fellows will share both their solutions and process, sharing lessons learned from their pilot programs. Prizes will be awarded for the best projects in each category.

The fellowship concludes with the presentation of awards to the Fellows based on success of project, scope, and ability to innovate.
